Guest List Tracker

GUEST LIST TRACKER

A guest list is never just a list. It is headcount for your caterer, seating for your venue, transport for your VIPs, and dietary notes for your kitchen — all tangled together and constantly changing as RSVPs come in.

This tracker organises all of it in one place. The main sheet holds your full guest list, with every communication step in one row: save-the-date, invitation, RSVP status, plus-one, table number, and dietary note. VIP and priority guests have their own tab, so their specific coordination needs don't get buried. Dietary restrictions are separated so you can share that information directly with your caterer without handing over the full list. A summary dashboard pulls everything together, showing your confirmed count, pending responses, and how close you are to your venue capacity, updating automatically as you fill things in.

Download the file, open it in Microsoft Excel or Google Sheets, and set your venue capacity before you add a single name. Everything else follows from that number.
